Version 2013 Closeup -- Password Protect Word Forms

People talk and Microsoft listens.  I know this first hand because when I was first introduced to the Word documents, I complained that the idea of sending an easily edited document as an invoice was bad.  I was not the only one that thought that way.

In this release, Word generated documents can be sent to customers protected by a password, making it more difficult for a customer to edit an invoice.  The firm can set the password or allow the software to generate one automatically.

Version 2013 Closeup -- Fixed Assets Calendars

 

Fixed Assets now has standalone calenders specific to the FA application.  This feature allows firms to create differet calendars for the depreciation of assets rather than use the company default calendar.

This function is particularly useful if depreciation is calculated based on periods other that those used in the financial documents, assets are depreciated quarterly, or, because of changes in ownership, a short or long year must be created to match the new owner's accounting. Reports can be created based on either the calendar or the firm's fiscal year.

The new Fixed Assets Calendar Setup window is used to create and edit calendars. Before creating a Fixed Asset calendar, a calendar must be created in the Company Fiscal Periods window. To create a Fixed Asset Calendar based on Quarters, the matching year must be created in the Company Fiscal Periods window with all of the periods created.

Calendar IDs are used in the Book Setup window to assign specific calendars to specific asset Books.

Version 2013 Closeup -- Fixed Assets Intercompany Transfer

 

Assets or groups of assets can now be easily transferred between companies on the same instance of MS-SQL. The new window Fixed Asset Intercompany Transfer enables this.

This new feature allows corporations that are maintaining separate sets of books for different company/divisions to move assets between the different firms easily. One transaction is used to effect the move and either individual assets or groups of assets can be moved.

Version 2013 Closeup -- Prevent PO Close until Invoiced

 

One of the major mistakes that firms using PO and Inventory have is closing POs before they are invoiced.  Version 2013 now provides protection against this mistake.

With the simple clicking of a setup parameter, POs must be fully invoiced for every receiving before they can be closed.  Typically, in a PO to Inventory operation, receipts cause item costs to be posted to a received not invoiced GL account and the invoice, when received, relieves RNI and moves the charges to Accounts Payables.  If the PO is closed before this happens, then dollars remain in RNI and cannot be easily moved to AP.

Preventing this mistake will be a great benifit to firms using PO and IV.

Version 2013 Closeup -- Drop Ship Serial/Lot Tracking!

Here is a big one...tracking serial or lot numbers on drop shipped items!

Many firms need to track serial and/or lot numbers for warranty or safety issues.  Recalls, if ever needed, are made easier with the appropriate tracking numbers.  Returns for warranty work can be validated with tracking numbers.  But until now, tracking numbers could not be recorded for drop shipped items.

In Version 2013, when a drop ship order is placed for a tracked item, the serial and/or lot numbers can be recorded when the vendor's invoice is received and vouchered!  This provides a complete end to end record of purchases and sales of tracked items, even if they never went through the firm's warehouse.

Version 2013 Closeup -- Alternate Modified Forms and Reports

A couple of small but very useful additions have been made to the Alternate/Modified Forms/Reports window.  Ever made a series of adjustments only to realize you selected the wrong user or company?  Ever needed to set a user back to the default settings to test a problem?  Well there is an easy reset selection in this window.

It is also possible now to elect all of the forms/reports for a specific module at one time!

Version 2013 Closeup -- Historical Depreciation Reports

A number of Fixed Assets reports and inquires have been expanded to allow the user to select the year to be shown.  This allows users to review depreciation transactions from prior years.

It is becoming easier and easier to use e-mail in MS Dynamics GP.  From the ability to use Office 64-bit tools to indicators showing which documents in a list have already been sent via email to the customer/vendor, Microsoft is making it easier and easier to keep in touch with your partners.

Version 2013 Closeup -- SSRS Reports on Forms

Tired of clicking on those old printer icons in the corner of the window and printing the one and only same old report time after time?  Well now SSRS reports can be assigned to those windows and you can even write the SSRS report yourself.  Finally, the easiest reports to print can also provide exactly what you need.

This is a neat feature that, until now, was only available through third party add-on products.  Now it comes free with the upgrade.

Version 2013 Closeup -- Standard Cost Adjustment

If the firm is using manufacturing, there has always been a way to recalculate standard costs.  But for firms that do not use manufacturing and need to change the standard cost of items, there is now a new feature allowing standard cost fields to be edited.  Of course, journal transactions are created to keep GL balanced.

Ever voided a check that had been reconciled in the banking functions?  This can create lots of problems!  Now, a new indicator in the list of documents to void in accounts payable shows the user those checks that have already been processed by the bank and reconciled from the statements.

Version 2013 Closeup -- Want Fries With That Order??

Yes, that famous line from fast food establishments can now be used by sales entry professionals using MS Dynamics GP.  Product managers can, for each primary item sold, establish a list of suggested items. 

For example, when selling a customer a new lawn mower, the user can be prompted to offer a gas can, special order, grass catcher, et cetera.  The art of the up-sale is now supported in GP!

Version 2013 Closeup -- Select Printers at Print time

For years, system managers had to pre-assign specific users or documents to specific printers and users were stuck with those assignments.  Now, users can select their destination printer at print time.

Of course, the pre-selected printer is the default printer for the user or document.  However, all printers available to the user are presented and the destination for the document can easily be changed.

Version 2013 Closeup -- Consolidated Invoicing

When transferring fulfilled orders to invoices, multiple orders can be consolidated into one invoice.  Frequently, customers place multiple orders in one day.  For example, after calling in one order, the customer will call back hours later to "add things" to the order.  If the order has already gone to the warehouse for fulfillment, it is best to enter a second order.  This new feature will allow firms to consolidate the orders into a single invoice.

Fulfillment orders must be used to accomplish this, another good reason to switch to these order types if your firm has not yet done so.

Version 2013 Closeup -- Inventory Reason Codes

It sounds like a simple enhancement, but there are some very nice surprises included in this one! For years, accountants have been stuck with a single Inventory Offset Account. When an Inventory Transaction was entered, the inventory asset account, carrying the value of the item, was adjusted and balanced using one Inventory Offset Account. Unless a user knew which GL account to change in the distributions, all of the transactions piled up in one account. This means that small adjustments to inventory for losses are posted to the same account as inventory issued to the sale team for samples! Now that is OVER!

This new feature not only allows users to assign a reason code to a transaction but also allows the accounting team to establish a default inventory offset account for the transactions assigned specific reason codes. Thus, "Count Gains and Losses" can post to one account while "Samples to Customers" can post to another and "Samples to Sales Reps" to a third account! And once the Reason Codes are built, all a user needs to do is assign the correct codes to the lines on the transaction and the posting is automatic!
